OFFICE MANAGER

Giles Flythe Engineers, Inc. is looking for an Office Manager for our Raleigh, North Carolina office. We are a dynamic and growing small local civil engineering firm seeking a highly organized and motivated Office Manager to support our team and contribute to our ongoing success. We are looking for a skilled Office Manager to oversee the day-to-day operations of our office and ensure a smooth and efficient working environment. We are looking for someone with strong communication skills and excellent customer service who enjoys and thrives in working in a fast-paced environment.
This is an in-office, full-time position with limited remote work available. The schedule in the office would be 8:00 am to 5:00 pm.
THE WORK YOU WILL PERFORM:
- Answer telephone calls and respond to emails from customers and clients promptly and professionally.
- Maintains inventory of office supplies; orders new supplies as needed.
- Maintains office files; implements an efficient system for other staff to access files and records.
- Create and send proposals to clients for company services.
- Manages and maintains company vehicles, ensuring vehicles are safe for staff:
- Coordinating and scheduling all routine vehicle maintenance or emergency repairs.
- Managing vehicle licensure, registration, and transponders.
- Developing relationships with vendors to enhance efficiency.
- Facilitate the cleaning, maintenance, and repair of office equipment.
- Prepare invoices using QuickBooks.
- Maintains and orders kitchen snacks, beverages, and supplies.
- Performs other related duties as assigned.
WHAT YOU'LL NEED TO BE SUCCESSFUL:
- Bachelor's Degree or Associate's Degree with a minimum of three years of relevant experience or High School Diploma with a minimum of five years of relevant experience. Experience in construction firm or civil engineering firm is a plus.
- Excellent written and communication skills.
- Customer service experience.
- Experience answering telephones.
- Experience using Microsoft Office (Word, Excel, Outlook) required.
- Experience using QuickBooks is a plus but not required.
- Ability to multitask and work efficiently in a fast-paced environment.
- Team player attitude with the willingness to adapt and learn new responsibilities and tasks.
- Ability to sit for extended periods.
- Valid Driver's license with good driving record.
